Online Noticeboard

Since the switch to Webmail, more and more users have abandoned Pegasus in order to use alternative e-mail clients such as Outlook, Outlook Express and IMP. These e-mail applications do not permit direct access to the Pegasus Noticeboard feature that we have been using on campus for years. In order to serve all users regardless of the e-mail software they use, we have developed a web-based Noticeboard. This Noticeboard has all of the same features as the Pegasus Noticeboard plus a few more! New features include:

  • Access from any computer on campus that has Internet connectivity
  • The ability for users to add, modify and delete notices
  • User defined expiration date of notices
  • E-mail feature that allows users to generate an e-mail message to whoever posted the notice

The new Faculty and Staff Noticeboard can be accessed directly at the following link or by selecting the NOTICEBOARD link from the main IntraCoastal page. Don't forget to BOOKMARK the Noticeboard!

A New Way to Use Online Forms

Another step has been taken to move the campus to a paperless form distribution system! The eventual goal is to have all university forms available electronically complete with electronic signatures. As we work toward this goal an intermediate solution has been implemented to make filling out and printing the current online forms easier. Work is currently being done to convert the existing Word forms found at the Online Electronic Forms link to the Adobe Acrobat format. There are numerous benefits to moving from the Word forms, and they include:

  • Forms that look as they are intended to look
  • Forms that are universally accessible across multiple platforms (Mac and IBM based) and hardware
  • Users need not be concerned over which Word version they have on their system

We will make the current Word forms available until all forms have been converted to Adobe Acrobat. In order to use the forms you must have the current version of Adobe Acrobat Reader installed on your system. Download and installation instructions are on the Online Forms page or contact your IRC.
It should be noted that once printed the forms are copied and the form closed the Reader software does not allow you to save the completed form. If you want to save the form it is recommended that you use the Word version for now.

Who's Who in ITS?

ITS (Information Technology Services) has grown to over 40 full and part-time staff members in the past year! ITS is responsible for academic computing, administrative computing, networking, media services and communications. Our web site offers valuable information including Frequently Asked Questions, current training courses available, software information and web design guidelines. To learn more about what each department does and to reach individual ITS employees please visit the selected links below:

Academic Support Services - Supports faculty and staff with all technology needs, troubleshooting, training and web services

Administrative Support Services - Supports the university's administrative application, Datatel, and other mission critical servers.

Application Support Services - Responsible for procurement, implementation and maintenance of hardware platforms and application servers on campus.

Communications - Telephone services as well as 24 hour a day, 7 days per week dispatch and switchboard coverage.

Media Services - Provides faculty, staff and students with audiovisual equipment, media production, technical support and consultation.

Network Support Services - Responsible for supporting and managing the voice and data network on campus.

Submitting Job Requests

A new job request system is in the works and should be available sometime early this summer. The new system will be a web based system (as opposed to e-mail) that will allow users to enter job requests and track them from a web page! In the meantime, however, let's review the ways you can request assistance from ITS.

IMPORTANT: When submitting work requests the following information must be included: user's name, computer CCU# (for all hardware and software requests), location and phone number. Also include a point of contact to coordinate the request and work with the ITS staff if the user is not going to be available.

New Employee Account Procedures

In order to get new employees access to university systems and e-mail sooner, ITS and Human Resources have revised the procedures for new account setup. The procedure is as follows:

1) The new employee goes to Human Resources to sign new hire paperwork which includes the ITS Account Request Form. IMPORTANT: This form is initiated by the department that is hiring the new employee. It must be signed by the department manager and the necessary system authorizations selected prior to the employee's start day.
2) An account is created in Datatel for the new employee. New accounts are created several times per week.
3) An e-mail account is created on Webmail
4) A network account is created on CSD
5) The Information Resource Consultant is sent the user's new account information, username and password
6) The IRC contacts the person to set up e-mail and network connectivity
7) The signed account request form is sent by Human Resources to ITS
8) Any additional account authorizations (Datatel, web site directory access) are set up at this time
9) A copy of the Account Request Form is sent to the new employee and the original is kept on file in the ITS office
10) The IRC should be contacted to assist with any further account set ups

This new process shortens the time that new employees have to wait for their account by 7-10 days!

NOTE: A new Account Request Form must be completed for all employees if any new account authorizations are needed.

The Voice Mail System

All Coastal employees have access to the Octel Voice Messaging System. This system is available 24 hours a day and allows users to retrieve voice messages when they are away from the phone. Useful information regarding the system is available on the ITS site at the Voice Mail link. Copies of the keypad options reference sheet can be obtained in the ITS Office in 105 Wall or by contacting Kay Alford.
