- Salaried Non-Exempt – Salaried employees who are NOT exempt from
receiving overtime (fill out time sheet)
- Salaried Exempt – Salaried employees who are exempt from earning
overtime
- Hourly Employees – Temporary Staff/Student Assistants who are paid on an
hourly basis for actual hours worked (fill out time sheet)
- Authorized Processor – An employee who has been selected as a back-up
person to the supervisor of record to process time and/or leave on
behalf of the supervisor or designated employees.

- To practice using Webtime Entry in a test environment:

- This site is available for you to “practice” using Webtime Entry. It is a test environment and it will
not process/update LIVE data.

- To use “Live” system beginning in July 1, 2008:

- This system will update the payroll system. Be sure you do your entry in “LIVE” as
of the dates specified above.

- If you do, you will not be able to participate in the practical training
portion of this session.

- Cut-Off Date – the last day an employee can enter time and leave for a
specific pay period. The Cut-Off
date is approximately 9 calendar days prior to the pay date at 12:30 PM.

- You will record “actual hours worked” in the designated column.
- Overtime or compensatory time is computed based on actual hours worked
for a specified work week. Leave
taken is not considered as actual hours worked.
- The system will automatically convert hours worked over 40 in a
specified work week to overtime after you submit your time/leave.
- Compensatory time functionality is forthcoming. During the implementation period the
preferred processing method of compensation will be overtime.

- Do not enter ‘Sick Leave – Immediate Family’ in the column labeled
‘Employee Sick’ leave.
- Instead, enter Sick Leave – Immediate Family hours in the ‘Other Time
Hours’ column.
- Then under ‘Other Leave Types’ select ‘Sick Leave – Immediate Family’
from the drop down list.
- The ‘Other Leave Types’ drop down list includes only leave types you are
eligible to use.
- If you plan to use leave during the current payroll period you must
enter it before the ‘cut-off date’.
You can enter the leave in advance. Any leave not entered by the ‘cut-off
date’ or any changes to leave already reported must be processed by your
supervisor.
- If you have no changes to report, you must still mark the electronic
signature box and then select ‘submit’.
- If you must make leave changes to a prior period, your supervisor must
submit the changes to Payroll electronically.
- Once you electronically sign your time/leave record and submit it, you
cannot make changes. This is
because the leave information has already been submitted to your
supervisor to approve or reject.
- You will receive an e-mail from your supervisor if time/leave is
rejected along with instructions on how to proceed.
- You will be able to view a ‘confirmation’ screen once you click on the
‘Submit’ box. Refer to next
slide.
