JOB REQUEST

If you are planning a publication or an advertisement that is targeted to, or could reach, an external audience, please work with the Marketing Communications staff to assure that the finished project best represents you, your department or area, and the university. Editorial and design assistance is available to purely internal projects as well, if time and resources permit.

How to Initiate a Publication
To initiate the scheduling of a project for design/production from the Office of Marketing Communications, the requestor must complete a Marketing Communications/Printing Services Requisition (work order). It is important that the work order is submitted to Trenny Neff (Singleton 224) well in advance of your needed delivery date. Please do not call Printing Services or the graphic designers to schedule projects.

A completed work order will begin the process for Marketing Communications staff to produce a publication with an effective and attractive format in a timely manner. It is important that the work order be complete with any pertinent information (copy, images, samples, etc.) needed to produce the project attached. Determine the funds available for the publication – it makes for a much more efficient process if we know the budget. Please make sure the quantity requested is what is needed; it is expensive to reprint.
If this is a new project or if there are questions/concerns, a member of the Marketing Communications staff will be in touch with you to schedule a creative meeting. If you are ordering a reprint or updating an existing publication (with or without changes), please attach a sample of the previous publication to the work order.

Planning and Scheduling
The importance of advance planning for any publication cannot be over-emphasized. For many projects, a minimum of four to eight weeks or more is required from the time the job is initiated to completion. Other projects may have a shorter turn-around time. Once a publication is initiated, Marketing Communications will plan a schedule allowing time for all the stages of production. Factors determining the length of time required to complete a job include the length of the manuscript and the editorial work required, the complexity of design, the kind of artwork desired, the complexity of the printing, and the schedules and workloads of the various offices and vendors involved. Once a job is forwarded to Printing Services or an outside printer from Marketing Communications, the respective printer will determine a printing completion and delivery schedule.

Your Publications Dollar
There is no charge for the planning, editorial, design or production coordination services provided by the Office of Marketing Communications. There are, however, charges for photography and printing, as well as for any freelance design or illustration services that may be necessary. If an outside printer is used and overnight shipping is necessary, the applicable cost center for the job will be charged, unless prior arrangements are made in advance.

Proofreading
You will see a final proof of your job before it goes to the printer and must approve the layout before it is printed.

As you proof your publication, please review the following items:

  • Please proofread carefully, particularly names and dates. It is your responsibility to check spelling. Remember, the spell check function of your computer will not catch everything – and neither will our editors.
  • Photo captions/cutlines. Please make sure each cutline is correct and that people are identified correctly.
