COOL’s Faculty Course Mentors (FCMs) are a great resource for all faculty. The FCMs have enhanced privileges in Moodle, allowing them to better serve your instructional design needs. Almost all FCMs are COOL-Certified and many are Exemplary Faculty Course awardees. Click here to access the list of FCMs, along with their areas of expertise and contact info.
Please note that all faculty can add colleagues to their courses in Moodle without submitting a Faculty Course Request. Please feel free to add your departmental/college faculty colleagues, graduate assistants, and graders as needed to support you. To do so, simply select Participants from the left-hand side panel; your class roster in this course will then load, and a new Enroll Users button will appear at top right.
CeTEAL continues to provide an array of virtual educational development sessions and services for faculty teaching across all modalities. The Guide for Teaching Faculty has information to help faculty construct syllabi. New full-time faculty, lecturers and teaching associates will find the Guide for Teaching Faculty and the New Faculty Resources Guide especially helpful get started at CCU. For faculty who would like to join a writing group, Writing Circles provide accountability and camaraderie throughout the semester. The CeTEAL Newsletter provides highlights faculty teaching, research, and service activities.
CeTEAL provides one-on-one appointments for instructional development; teaching improvement and teaching effectiveness; and scholarship of teaching learning (classroom research). We offer consultations and feedback on teaching narratives in third-year review, promotion, and promotion and tenure files along with informal reviews of syllabi and teaching materials. CeTEAL’s Instructional Coaches continue to conduct peer classroom observations and student feedback sessions (via streaming or recorded sessions if necessary). CeTEAL services are private and confidential (with the exception of mandatory or required training).
Due to the necessity of quarantining shared materials, Kimbel Library will not be putting any print items on physical reserve this semester. They have two alternatives for you to consider:
- Email your library liaison with a request to purchase a copy of the e-book or streaming video. Not all items are available to multiple users in an electronic format but the library staff will make every effort to purchase those that are. Please include the title, author/director, and edition/year so library staff can be sure to look for the correct item.
- Request that the library scan specific chapters. This is best if you only expect students to read a few chapters out of the entire book.

Checking Out Items
Any item with a location of Main Stacks (books, CDs, DVDs, Media Items) can be checked out by students, staff and faculty for the entire semester (the due date is December 10, 2020). However, the stacks are closed due to COVID, so you will need to request these items via the library website. This video describes that process. Camcorders, digital cameras, memory card readers, mini projectors, voice recorders, and webcams are also available for the entire semester.
Student Laptops and Hotspots
Coastal has acquired new laptops and hotspots that will be distributed by Kimbel Library. Supplies are limited and students must qualify through financial aid to receive them. Information about this program and links to the qualifying questions can be found at the Borrowing Laptops and Hotspots website.
Library seating is limited this semester. Seats and study rooms must be reserved, which can be done up to two weeks in advance.
We have created videos that explain how to search within our new OneSearch catalog and database search engines. If your Moodle courses have any videos that mention Discover, be sure to replace them with our new OneSearch content. Please let me know if you would like help with this.

The Office of the Registrar has updated the most commonly used registration-related forms to allow for electronic signatures. The most recent version of Adobe Acrobat works best. Once you complete the form, save it as a pdf, and then send via email to the next level of approval. Email the completed form with signatures directly to email@example.com.
1. The Appointment Scheduling Calendar is now available for all faculty and staff for appointment management. Directions are below, but you can also contact Frankie Weeks at firstname.lastname@example.org if you need additional assistance.
- To add available appointment times to your calendar, visit https://www.coastal.edu/app/scheduleadvising/admin/ (also in WebAdvisor on the Faculty menu as “Advising Scheduling Calendar”)
- Sign in with your CCU username and password.
- The first time you visit, select “My Profile” tab and ensure your information is correct.
- Select the “Calendar” tab to schedule, update, or remove individual appointment times.
- Note there is an option to indicate if the available times are virtual
- Select the “Schedule” tab to schedule or update multiple appointment times at once or to add walk-in hours.
- Instructions for how to add/update/remove appointments are at the top of the calendar.
2. To view the new calendar from a student’s perspectivevisit https://www.coastal.edu/app/scheduleadvising/ (also in WebAdvisor on the Student menu as “Schedule an Appointment with Faculty or Staff”. All available appointment times will be displayed in bronze. Please verify your name, phone number, email, and office location.
Pursuant to the University’s furlough policy, the Provost has designated the first ten days of mandatory furlough for faculty on nine-month appointments. These furlough days, which appear below, cover the Fall 2020 semester. The Provost will designate mandatory furlough days for Spring 2021 at a later date.

The CCU Campus is open, with access limited to CCU students, faculty, and staff, or those visitors and vendors who have scheduled an on-campus appointment.
All non-essential University-sponsored travel (international and domestic) remains suspended.
Faculty who have questions about extensions to the promotion and tenure process, PEG awards, or other administrative processes should consult the Spring 2020 Exigency Policies page or contact the Provost’s Office with questions and concerns.
Any faculty or staff member who has information that a student (including student workers) may be COVID-19 positive, should send a brief e-mail from your CCU e-mail account to email@example.com.
Include the name of that student, their ID number (if known), and a brief summary of the information you know regarding this student’s potential positive status. Student Health Services staff will then follow up with that student to gather appropriate contact tracing information and to provide additional direction regarding isolation and quarantine to ensure campus safety.
The faculty or staff member should also instruct that student to contact SHS by calling 843-349-6543 to arrange to get tested, if the student has not done so already.
Faculty/Staff Testing and Reporting
Human Resources is the University’s clearinghouse for employee COVID-19 data. Human Resources will work with Student Health Services to provide appropriate contract tracing if the faculty or staff member has been on campus this semester.
Any information regarding faculty or staff exposure or positive test should be communicated per HREO instructions. Faculty and staff who need a COVID-19 test may contact Student Health Services by calling 843-349-6543 to arrange to get tested and immediately begin isolation. Due to high call volume, you may need to leave a message, and a SHS staff member will get back to you as soon as possible.

Notifying Students of Temporary Shift in Instruction
We suggest using the language below if you need to transition your course online temporarily due to your own exposure or a student’s reported exposure to COVID-19.
“An individual in our class might have been exposed to coronavirus. As a precaution, the University has initiated its protocols for monitoring or investigating potential COVID-19 cases. While the monitoring process or investigation is underway, CLASS ABC*01 will meet online at its regularly scheduled time. [Instructor inserts directions on how to access class online]. Depending on the outcome of the case, our class may return to meeting in person relatively soon. I will be in touch with you regarding further instructional changes.
While you do not need to self-quarantine at this time, please monitor your health for symptoms and seek immediate care should you become ill. You should contact Student Health Services at 843-349-6543 for assistance.

The date to drop a class with a grade of “W” is extended to December 5, 2020. This extension is effective November 16, 2020. Students who withdrew from a class between October 10 and November 15 will have their grades of “WF” automatically converted to grades of “W.” This policy applies to the regular Fall term, Fall II, and can be used retroactively for Fall I classes as well. Students should consult with their academic advisor to determine the impact of withdrawal on degree progress and financial aid eligibility.
