What is the process for writing new policy or revising a policy?
ACADEMIC POLICIES are established or revised through consultation between the submitting committee, department or college and the Provost. After this preliminary approval, the policy is sent to the appropriate committee of the Faculty Senate, who then forwards it to the entire Faculty Senate for review and approval. The Provost completes a Policy Submission Form and sends the policy to the Office of University Compliance for review. The policy is then sent to Executive Council for a final vote. If the policy passes, the Office of University Counsel completes a final legal review and sends the policy to the President for his signature. Once the policy is signed, the Office of University Compliance will post the policy to the University Policy website.

ADMINISTRATIVE POLICIES are developed at the departmental level, under the appropriate policy management level, and approved by the Vice President responsible for that policy management area. Once the policy is approved by the department head and sent to the appropriate Vice President, the Policy Submission is form completed and the policy is sent to the Office of University Compliance for review. The policy is then sent to Executive Council for a final vote. If the policy passes, the Office of University Counsel completes a final legal review and sends the policy to the President for his signature. Once the policy is signed, the Office of University Compliance will post the policy to the University Policy website.

Why can't I find the university policy related to my area of concern?
Though comprehensive, University policies cannot address every possible situation or scenario that could occur in the workplace. In addition, procedures, which are subject to change much more often than policies, are generally not explained within policies, except insofar as needed for clarification.

Policies are clear, simple statements of how the University intends to conduct its services, actions or business. They provide a set of guiding principles to help with decision-making and, thus, do not necessarily need to be longer or complicated.

Procedures describe how each policy will be put into action in the organization and could vary somewhat between departments. The length or number of steps to a procedure will differ depending upon the difficulty or ease of the procedure itself.

If you are having trouble locating a policy on a particular subject or concern, please use the "Search University Policies" link on the left-hand side of the CCU University Policies website. there you can search by policy number, policy name, police description and/or policy keywords. If you cannot locate the policy, try a keyword search through the entire University website and see if the subject is discussed on a particular web page.

If you still cannot find a policy about a particular subject which concerns you, talk to your supervisor or contact University Compliance at compliance@coastal.edu or by calling 843-349-6984.

How can I find a policy if I do not know the name?
You can browse policies using the links to the left, or search for policies by number, name, description, department or keyword by clicking on the Search University Policies link.

How will I know if a policy or procedure changes?
Once a policy change is approved by the Executive Council, the Office of University Compliance will send a notification email to all employees.

Do I follow a department or university policy?
Both. Department policies should adhere to University policies, but may add department-specific requirements to the broader system policy. In the event of an inconsistency between a provision in a college or departmental policy and a provision in a university policy, the university policy shall prevail.

What do I do if I can't find a document?
If you cannot find a document you are looking for, contact the Office of University Compliance by sending an email to compliance@coastal.edu or calling 843-349-6984.
