Is approval required to rent a vehicle? 

Yes. Prior to making a reservation, you must obtain approval from the budget officer and/or supervisor. Submit to the budget officer and/or supervisor a completed Travel Authorization form by submitting this form with a request for a rental car or a request for reimbursement.

Who is an eligible renter?

An eligible renter is a validly licensed Authorized Driver approved by the budget officer and/or supervisor or director, at least 21 years of age (or 25 years of age for box trucks) conducting University business. 

Who is an additional driver?

An additional driver is a licensed Authorized Driver at least 21 years of age (or 25 years of age for box trucks), and who has the eligible renter’s and  the budget officer and/or supervisor's or director's permission and is a licensed Authorized Drive who drives the rental vehicle for University business purposes. All additional drivers must appear at the rental counter with the primary renter.

How do I verify an Authorized Driver?

The list of Authorized Drivers is available to CCU employees on the University's T Drive in the CCU folder (T:\CCU\Authorized Drivers). Rental of a vehicle by an unauthorized driver could result in termination and a claim against your personal insurance if any damage occurs.

Can someone under age 16 ride in a rental vehicle?

University Policy UNIV-470 VI. B. states: “No children under the age of 16 will be allowed to travel in motor pool or rental vehicles unless written permission is granted by the vice president of the department requesting the vehicle.”

Can Enterprise pick me up?

Yes. Enterprise offers a pickup service within their business hours. They will pick you up from your location and bring you back to the branch to complete the paperwork and get your rental car. They will also give you a ride back to your location when you return the rental car if the return is within their business hours. Please call the branch you are renting from to arrange a pickup.

Is there pick up service available from the Enterprise Conway location after hours?

Yes. CCU is very fortunate to have a 24/7 Department of Public Safety that is available for you to call after hours for a pick up from Enterprise located on Highway 501 across from campus. Please call 843-349-2177 from the safety of your rental vehicle to arrange a ride to campus with CCU DPS and remain in the vehicle until an officer or the late night shuttle arrives.

Can Enterprise deliver the vehicle to me?

No. Enterprise rental offices are happy to pick you up, but they do not deliver vehicles. Enterprise has a free pick-up service available at non-airport locations and during normal business hours. To schedule your pick up time or make additional arrangements, please call your local rental office directly. There is also free parking available at the Conway branch for your personal vehicle. 

How do I return an Enterprise vehicle after hours?

Vehicles should be returned to the same location where picked up unless prior arrangements have been made with the original renting location. If you want to return a vehicle when the branch is closed, you must check with them when picking up your vehicle to determine if an "after hours" service drop box is available. Doing so will help you avoid additional charges. A vehicle that is returned after hours will not be checked in until the next business day. If returning after hours when a branch is closed, the customer is responsible for the vehicle until the satisfactory check in of the rental vehicle the next business day.

What is the closest Enterprise branch to campus?

Enterprise is located almost directly across the street from the CCU campus. CCU/Conway Enterprise branch is located at 1793 Highway 501 East, Conway, SC 29526, 843-347-4026. Hours of operation are: Monday through Friday, 8 a.m. to 6 p.m.; Saturday, 9 a.m. to noon; closed on Sunday.

Can I upgrade my vehicle?

No. You should not authorize any paid upgrades when you pick up your vehicle. If the renting location does not have the size vehicle you reserved, they will give you the next available car class at that same price.

Can I rent a box truck through Enterprise?

Yes. Trucks are available for rent through the Myrtle Beach branch located at 911 Jason Boulevard, Myrtle Beach, SC 29577. To review size options, visit to the Enterprise website and select Enterprise Truck on the landing page. You must call the branch directly at 843-205-3100 for availability and to complete your reservation. 

Can I take an Enterprise vehicle one way?

It depends. One-way rentals are charged at a higher cost. These should only be rented if necessary and all other options have been exhausted. One-way rentals may not be available at some Enterprise locations.

Is insurance included with my rental?

Yes. All negotiated rates include the benefits of Collision Damage Waiver and Supplemental Liability Protection. This protection is included in the rate to ensure you are protected every time you rent. No need to accept or decline these products. It also speeds up your return process in the event of an accident. Please be advised that no other optional products are necessary. Please decline any optional products offered.

What is a rental period?

Rentals are billed on a 24-hour clock with a one-hour grace period. After the grace period, the rental is charged by the hour, up to three hours. After that, the rental will be billed for another day. Please make every effort to pick up and return the rental at the same time to avoid extra charges.

Will there be a charge if I am late returning the rental vehicle?

Yes. If the vehicle is returned within 2 ½ hours of the time it was rented on a subsequent day, additional hourly charges will apply. Hourly charges for your location and rental can be found on your rental contract. If you return the vehicle 2 ½ hours or more from the time it was rented on a subsequent day, you will be charged for an additional day of rental. Please note: A vehicle that is returned after hours will not be checked in until the next business day. If returning after hours when a branch is closed, the customer is responsible for the vehicle until the satisfactory check in of the rental vehicle the next business day.

How do I change or cancel my reservation?

If you have already picked up your vehicle and wish to keep it longer; you must contact the location where you picked up the vehicle. If you have not picked up your vehicle you can view, modify or cancel your reservation online. You will need to make sure all fields are filled out. If you fail to enter your confirmation number, first name and last name, the reservation will not be found. If you have entered in all this information correctly and still cannot modify your reservation, please contact the Conway branch at 843-347-4026 or the Enterprise Car Rental Reservations line at 1-855-266-9289.

How do I pay for my vehicle? 

When making your reservation, you will not be required to provide payment information. You will have to use your Travel Card or personal credit card to pick up and complete the rental process at the Enterprise location. If you are using a personal credit card for travel, you may request a reimbursement by submitting signed Travel Authorization and Expense Reimbursement forms. If you are using a Travel Card, please ensure your Travel Authorization includes loading the card for this rental and fuel.

How do I fuel my vehicle?

Prior to returning your rental, you will be required to match what fuel is in the tank when you picked it up. Do not ask the rental car company to replace the fuel for you, as this will incur fuel penalty charges. All fuel expenses should be charged to your Travel Card or personal credit card. If you are using a personal credit card for travel, you may request a reimbursement by submitting signed Travel Authorization and Expense Reimbursement forms.

What do I do if I have an accident with my rental?

In the event of an accident, please notify the branch where the vehicle was rented; the telephone number can be found on the individual rental agreement. The branch will assist with switching out the vehicle and arranging a tow, if necessary. If the accident happens outside of business hours, please call the 24/7 roadside assistance number, also found on the rental agreement. Please get a police report. Is there an additional charge for drivers under the age of 25 years?

Maybe. When renting in a state other than South Carolina, there will be an additional surcharge for youthful drivers.

May 15-passenger vans be rented?

The University shall not rent or use 15-passenger vans within its motor pool or rentals from a state contractor unless the rental trip originates more than 50 miles from campus.
